Ring Group, Simultaneous Ring, or Call Queue? Here's the Difference

All three make more than one phone ring for a single call. Choosing the wrong one is why calls still get missed even after you've set something up.

Setting up call routing sounds simple until you actually open the settings and see three options that all seem to do roughly the same thing. Ring Groups, Simultaneous Ring, and Call Queues each make more than one device ring for a single incoming call, and it is easy to pick whichever one is already highlighted and move on. The trouble is, each one solves a different problem, and using the wrong one means calls still slip through even though something is technically "set up."

Here is what actually separates them, and how to tell which one your team needs.

Simultaneous Ring is built around a single person, not a team. It lets one person's incoming calls ring on more than one of their own devices at the same time, a desk phone and a softphone, for instance, or a desk phone and a personal cellphone. Whichever device they answer from picks up the call.

This is the right fit when the problem is not "which person should take this call," but simply "how do I make sure this one person doesn't miss it because they stepped away from their desk." It solves reachability for an individual, not distribution across a team.

A Ring Group takes that same idea and applies it to a group of people instead of one person's devices. When someone calls the group's number, every phone in that group rings simultaneously, and whoever answers first takes the call. A ring delay can also be set to change the order calls come in, so certain phones start ringing a few seconds later instead of all at once.

Ring Groups are meant to be simple. There is no login required to be part of one, and no separate settings like recording or hold messaging to manage. That makes them a good fit for a small, informal team where "whoever is free picks it up" is genuinely enough, without the overhead of maintaining a more advanced setup.

A Call Queue also distributes calls across a group of people, but with far more structure than a Ring Group. Callers can be held in an actual queue with hold messaging while they wait, agents need to log in to be counted as available, and calls can be distributed in different ways, ringing everyone at once, going through a specific order, or moving through the group in stages.

Call Queues also come with reporting and call recording options, along with settings like a maximum wait time or a maximum queue length, so calls do not pile up indefinitely if a team is genuinely swamped. This is the option built for teams that need visibility into call volume and performance, not just a way to make a phone ring.

  • Use Simultaneous Ring when the goal is making sure one specific person doesn't miss a call, no matter which device they're near.
  • Use a Ring Group when a small team just needs "whoever's free answers it," without extra configuration or reporting.
  • Use a Call Queue when call volume is high enough that you need hold messaging, agent login, or reporting to actually manage it.

These three are not competing options where you pick one and ignore the others. In practice, they are often layered together, with each one solving the piece of the problem it is actually built for.

A person's Simultaneous Ring setting can stay active even while they are also a member of a Ring Group or Call Queue. If a call reaches them through the group, it still rings all of their own devices at once, so being part of a team distribution does not undo their personal reachability setup.

Ring Groups and Call Queues can also connect. A queue can be configured so that if nobody answers, the call moves on to a different ring group entirely, rather than being limited to individual agents. And if a queue hits its maximum wait time or maximum queue length, it can route the caller out to a simpler Ring Group, or straight to voicemail, instead of leaving them stuck with nowhere to go.

Picture a small support team of five people. Each person has Simultaneous Ring turned on, so their desk phone and cellphone ring together whenever a call reaches them directly. All five are also part of a Call Queue, which holds callers with hold messaging and distributes calls in the order they come in, so nobody is stuck guessing whether "someone else already answered."

If call volume spikes and the queue hits its maximum wait time, the system automatically routes overflow calls to a smaller Ring Group made up of two backup staff from another department, who simply pick up whoever is free. If even that Ring Group cannot pick up, the call rolls to voicemail as a final fallback.

None of these three pieces is doing the whole job on its own. The queue manages volume and structure, the Ring Group provides a straightforward backup layer, and Simultaneous Ring makes sure that once a call does land on a specific person, they are not missing it just because they stepped away from one device.
